Purpose
Organisation closure periods allow you to record dates and times that the whole practice or specific sites will be closed. If a staff member then tries to schedule any activities during a closure period they will be presented with a warning message informing them of this. This user guide will show you how to record and manage practice closure periods in Medicus.
Navigating to the scheduling module
To navigate to the scheduling module, select 'Scheduling & Appointments' from the modules menu on the left-hand side navigation bar.
Once in the scheduling module, select 'Configuration' on the left hand side navigation bar.
Select 'Closure Periods' to navigate to the closure periods tab.
Recording a closure period
Navigate to the closure periods tab and then click Add closure in the top right.
This will open up the 'Record Closure Period' form to enter the following details about the closure period. Information you'll need:
- Start and end date / time.
- Site - if the closure period is only at a specific site, record it here. If the closure period if for the whole organisation, you can leave this blank.
- Reason - enter the closure period reason as free text.
If there are any appointments already scheduled during the closure period you'll be warned of this on the 'Record Closure Period' form.
Editing a closure period
To edit an existing closure period, simply select the closure period you'd like to edit from the calendar to open up the 'Edit Closure Period' form.
Update any fields you'd like to update and then select 'Save changes'.
Deleting a closure period
To delete a closure period, select 'Delete' from the 'Edit Closure Period' form.
Practice closure warning
When scheduling staff activities from the staff schedule page, if you try scheduling during an organisation closure period then you'll see a warning message displayed.
If only a specific site is closed, then the warning message will only be displayed if you select that specific site whilst scheduling a staff appointment diary.
