Purpose
The staff schedule page is where you can view and allocate the staff in your practice to all of the different duties to be performed on a given week. This user guide covers how to access and view the staff schedule.
Go to Modules > Scheduling and Appointments > Staff schedule from the left hand side navigation bar to be taken to the staff schedule.
Staff activities
Staff can be assigned to perform the following activities in Medicus which are then viewable on the staff schedule:
- Appointment diaries - managing the delivery of an appointment service by a practitioner(s) in a single room for a period of time.
- Meetings - blocks out time for staff members to attend internal meetings.
- Breaks - blocks out time for staff members for dedicated break time.
- Absences - blocks out time for staff members to take time off.
- Other activities (rota activities) - assigning staff members to other duties that are not directly related to the delivery of appointments, for example, admin time.
There's no need to create fake appointments for staff members to block time out, as each staff activity should fall into one of the categories available in Medicus.
Staff schedule view
The staff schedule view is designed so you can easily view what duties each staff member is assigned to each day in a given week.
You can also change the view to Day view by selecting the drop down in the top right hand corner as well as filter by specific teams or staff members.
Drag and drop staff activities to assign to a different staff member
The drag and drop feature is an easy way to reassign a staff activity to a different member of staff.
For example, if a staff member is unexpectedly absent and their morning appointment diary is going to be covered by another staff member, you can easily drag and drop the appointment diary onto the covering staff member on the staff schedule view.
Viewing conflicts in the staff schedule
If a staff member has conflicting activities, the conflicting events will change to amber and a warning symbol is displayed in the top right hand corner.
This is to catch your attention to ensure any conflicts are resolved.
