Purpose
One of the key metrics assessed for GPAD reporting is the percentage of patients who waited two weeks or less for an appointment. However, there are valid reasons why an appointment might exceed the two-week limit. Therefore, you're able to report certain appointments as 'Exception Reported Appointments' in Medicus. These exceptions won't be factored into the reporting, and therefore you won't be unfairly penalised. This user guide will show you how to record an Exception Reported Appointment..
Eligible appointment exception reasons
You're able to record one of the following exception reasons against an eligible appointment:
- Patient preferred an appointment on a future date or at a specific time.
- Clinician requested follow-up appointment after providing care or advice.
- Patient preferred an appointment with a specific clinician or practice user.
- Patient preferred appointment in a specific location.
You'll also be able to select more than one reason if required.
Note: an appointment is eligible for exception reporting if it is scheduled for more than 14 days after the booking date, and the NHS National Slot Type Category is recorded as a General Consultation Routine, Home Visit, Care Home Visit or Care Related Encounter.
Recording an exception reason
Whilst booking an appointment, if the appointment is eligible to record an exception reason for, you'll see a message box informing you of this and allows you to select an exception reason.
Viewing and editing an exception reason
Once an appointment has been booked, if no exception reason has been selected, the below messaging will be displayed on the appointment details.
Select the pencil icon in the top right hand corner of the 'Details' box to edit the appointment if you'd like to retrospectively add an exception reason.
If an exception reason is added to an eligible appointment, this can be found under the 'Additional Information' section of the appointment details.
Note: if an appointment is booked through NHSapp or GP Connect and the appointment is eligible for an exception reason, the exception reason is automatically set to 'Patient preferred an appointment on a future date or specific time'.
