Purpose
Inbound documents can be received to the practice either through the post, by email or into the MESH mailbox. Despite the method the document was received, they are still processed in Medicus in the same way. This user guide will take you through how documents are processed in Medicus.
Scanning documents into Medicus
Documents received in the post need to be scanned into Medicus. Your practice scanners will be configured in Medicus during implementation. Documents should be scanned into Medicus one by one, which you may choose to do at the start of the day before allowing the documents to start auto-processing in the system.
Auto-processing of documents
Once in the system, Medicus will scan the contents of the document and will attempt to match the document to a registered patient and populate some of the document details, such as document type, clinical speciality and authoring organisation and department.
Initially the document will be in the 'Unmatched Document' task list with a banner displaying that Medicus is currently processing the document. If Medicus successfully matches the document to a patient it will move into the 'Document for Action' folder ready for review, actioning and filing.
Unmatched documents
If a document is not matched successfully to a patient it will remain in the 'Unmatched Document' task list.
From here you can either manually match the document to a patient, mark as awaiting patient registration or discard the document if it does not require filing.
Note:
Please note that there is a known issue where Docman is unable to export annotations from documents. Please check Docman for any annotations when viewing documents that have been imported into Medicus. This gap in the data export from Docman is expected to be resolved by OneAdvanced later in 2025.
