Purpose
This article explains how to set up and manage the Medicus self-service check-in kiosk, which allows patients to check in for their appointments using a tablet in your waiting area. These features include:
Pairing a kiosk: Connect a tablet to your Medicus account so it can be used for patient check-in.
Approving and rejecting pairing requests: Review and manage incoming kiosk pairing requests from within Medicus.
Patient check-in flow: How patients use the kiosk to check in for their appointment by entering their date of birth.
Removing a kiosk: Decommission a kiosk that is no longer in use.
Hardware requirements
Your practice is responsible for sourcing and managing kiosk tablets. The tablet will need:
- An internet connection
- A. touch screen
- At least 4GB of RAM
- A web browser that can run in kiosk mode (where the browser cannot be exited).
iPads and Android tablets are both supported.
Setting up a kiosk
Pairing the kiosk
Before patients can use the kiosk, it needs to be paired with your Medicus account. This is a two-step process: the kiosk submits a pairing request, and a Medicus user then approves it.
To start, your tablet should be set up in kiosk mode with the browser pointing to the Medicus kiosk URL.
https://kiosk.england.medicus.health/Once loaded, the tablet will display a Pair Kiosk screen asking for your Medicus tenant ID. Your tenant identifier can be found in Medicus at Modules > Organisation Details.
Enter it on the tablet and select Pair. The tablet will then display an Awaiting Approval screen showing a Kiosk ID and instructions to approve the request in Medicus.
If the tenant ID is not recognised, the tablet will show a validation message asking you to check the ID and try again. If there is a temporary connection problem, the tablet will show a Pairing unavailable screen with a Try again button.
Approving a pairing request
Once the tablet has submitted a pairing request, it will appear in Medicus at Modules > Front Door > Kiosks.
Select the kiosk entry to open the View Kiosk panel, which shows the kiosk details.
Select Approve pairing request and the tablet will update automatically within a few seconds to show the check-in screen.
Rejecting a pairing request
If you do not recognise a pairing request or want to decline it, open the View Kiosk panel and select Reject pairing request. The tablet will return to the initial pairing screen.
Patient check-in flow
Once the kiosk is paired, patients can use it to check in for their appointment. The kiosk walks them through entering their date of birth step by step.
First, the patient selects who they are checking in for: Myself or Someone else.
They then select their birth month, their birth day, and finally type in their birth year using the on-screen keyboard.
Once the date of birth is entered, the kiosk searches for a face-to-face appointment for that patient today. If a match is found, the kiosk displays the patient's name and appointment time with confirmation that check-in has been completed.
If the room the appointment is held in has check-in instructions, they will be displayed on this page.
The screen returns to the start automatically after 10 seconds, or immediately when Next patient is selected.
Check-in errors
If the kiosk cannot find an appointment for the date of birth entered, it will display a Sorry, we could not check you in message and direct the patient to reception. This can happen in several situations:
- No appointments were found for that date of birth today
- More than one patient shares that date of birth and have an appointment today
- The patient has multiple appointments today
The appointment has already been started
In each case, the patient can select Start again to try again or go to reception for help.
Inactivity timeout
If a patient stops interacting with the kiosk for 30 seconds, a prompt appears asking Would you like to continue? with a countdown.
The patient can select Yes, continue to carry on, or No, return to start to go back to the beginning. If the countdown reaches zero, the kiosk returns to the start screen automatically.
Removing a kiosk
To remove a kiosk, go to Modules > Front Door > Kiosks and select the kiosk you want to remove. In the View Kiosk panel, select Remove kiosk and confirm by selecting Yes, remove. The tablet will return to the pairing screen the next time it checks in.
