Purpose
This article covers how to manage inbound referrals in Medicus. Inbound referrals are referrals received from external organisations - for example, a GP referring a patient to a community service for specialist care or assessment.
Viewing inbound referrals
Go to Modules > Inbound Referrals & Case Management > Inbound Referrals and select the Accepted or Rejected tab. Referrals are listed with the most recently received at the top.
Select any referral to open the View Referral Details slideover, where you can see the full details of that referral.
Creating an inbound referral
Creating a referral
Go to Inbound Referrals and select New referral. A patient search modal will open. Search for and select the patient the referral is for.
Once a patient is selected, the New Referral modal opens. Complete the referral details, including the referring organisation and, if applicable, the commissioned service. The commissioned service field is optional, as private inbound referrals do not require one.
Accepting a referral
In the New Referral modal, select Accept referral and create case. You will then need to choose a Case Type from your configured case types.
If a commissioned service was selected on the referral, the case will automatically link to that same commissioned service. Select Create Case to save the referral as accepted and create the linked clinical case.
Rejecting a referral
In the New Referral modal, select Reject referral. A Reason for rejection field will appear. Complete this field and select Reject referral to save.
Editing a referral
Go to Inbound Referrals, select the Accepted or Rejected tab and open the referral you want to update. From the View Referral Details slideover, select the option to edit and make your changes, then Save.
Managing attachments
Adding attachments
Attachments can be added to both accepted and rejected referrals after they have been created. Open the referral from the Inbound Referrals page and, in the View Referral Details slideover, select Add new attachments. The Add Referral Attachments slideover will open, where you can upload your files.
Removing attachments
To remove an attachment, open the referral and select the specific attachment in the View Referral Details slideover. From there you can mark the attachment as incorrect or remove it from the record entirely.
Select Mark as Incorrect to flag the attachment without fully removing it. Complete the reason field and select Save — the attachment will remain visible but shown as struck through.
To remove an attachment from the record entirely, select Remove from record, provide a reason, check the confirmation checkbox in the warning banner, and select Save.
Marking a referral as incorrect or removing it from the record
If a referral was recorded in error, you can mark it as incorrect or remove it from the record. The accepted or rejected status of the referral cannot be changed. These options allow you to correct the record without altering the referral's outcome.
Open the referral from the Inbound Referrals page and select the edit button, then Mark as Incorrect in the View Referral Details slideover.
To mark as incorrect only, check Mark as incorrect only, enter a reason, and select Save. The referral will remain visible on the record.
To remove the referral from the record, select Remove from record, enter a reason, check the confirmation checkbox in the warning banner, and select Save.
Viewing a linked referral from a clinical case
When a clinical case was created from an inbound referral, the referral is shown in the View Clinical Case slideover.
Select the Linked Referral card to open the View Referral Details slideover for that referral.
