Purpose
This article explains how to configure Clinical Cases in Medicus. Clinical Cases are available to Community Services. Before staff can start creating cases, an administrator needs to set up case types and, where relevant, commissioned services.
This article covers:
Case Types: Allows you to define the categories of clinical case your organisation uses and control whether each type requires a link to a commissioned service.
Commissioned Services: Allows you to configure the NHS service agreements under which care is delivered, supporting accurate reporting and payment.
Appointment Service settings: Allows you to make linking a clinical case mandatory when booking appointments for a specific service.
Case types
Case types let you categorise the different kinds of care your organisation provides - for example, ADHD Assessment or ASD Assessment. To manage them, go to Modules > Clinical Cases > Case Configuration.
Adding a case type
Select Add case type to add a new case type. Enter a unique name for the case type - this is what staff will see when creating a new case.
Under Commissioned Service requirements, tick Require link to a commissioned service if care under this type is delivered through an NHS agreement. When enabled, staff will need to select a commissioned service before they can save a case of this type. Leave it unticked for private or non-commissioned care.
Select Save and the new case type will appear on the configuration page.
Editing a case type
Select a case type from the list to open its details, then select the edit icon. Update the name or commissioned service requirement and select Save changes. Existing cases linked to this type are not affected.
Archiving a case type
If a case type is no longer needed, select it from the case type list and choose Archive, then confirm by selecting Yes, archive. The case type will be removed from the configuration page and will no longer be available when creating new cases. Existing cases like to the case type are not affected.
Commissioned services
Commissioned services represent the NHS service agreements your organisation operates under. To manage them, go to Modules > Clinical Cases > Case Configuration.
Adding a commissioned service
Select Add service to open the form. Enter a unique name for the service (e.g. "ADHD Assessments - Dorset ICB") and the NHS Service Agreement Identifier. This is the unique code for your service agreement. Both must be unique across your active commissioned services.
Use the Commissioning Organisation field to search for and select the organisation responsible for the contract. Select Add service to save, and the service will appear on the configuration page.
Editing a commissioned service
Select a commissioned service from the list and use the edit icon to open the Edit Commissioned Service form. Update the name, service agreement identifier, or commissioning organisation and select Save changes.
Archiving a commissioned service
Select the commissioned service, choose Archive, and confirm by selecting Yes, archive. The service will be removed from the configuration page and can no longer be selected for new cases. Existing cases linked to the commissioned service are not affected.
Requiring a clinical case for appointments
When setting up an appointment service, you can make linking a clinical case mandatory for all bookings under that service. This is useful where every appointment is part of a commissioned care pathway.
When creating or editing an Appointment Service, tick Require link to a clinical case under Clinical case requirements. Staff booking appointments for this service will then need to select a case before they can save the booking.
